Customer Intake Coordinator


The American Arbitration Association ® (AAA), with its long history and experience in the field of alternative dispute resolution, provides services to individuals and organizations who wish to resolve conflicts out of court.

The AAA role in the dispute resolution process is to administer cases, from filing to closing. The AAA provides administrative services in the U.S., as well as abroad through its International Centre for Dispute Resolution ® (ICDR).

The AAA's and ICDR's administrative services include assisting in the appointment of mediators and arbitrators, setting hearings, and providing users with information on dispute resolution options, including settlement through mediation. Ultimately, the AAA aims to move cases through arbitration or mediation in a fair and impartial manner until completion.

We are seeking a Customer Intake Coordinator to be located in our Voorhees, NJ office. This is a full-time position with a competitive salary and medical benefits. This position supports our Customer Intake Specialists who are responsible for handling incoming case filings and fielding questions from customer regarding filing requirements and services. Standard shift (9-5) and late shift (12-8) positions are available.

 

Specific duties include:

 

  • Accurately inputting new case filings case specialized caseloads into case management system in accordance with established policies and procedures.
  • Selecting customer account/contact records in accordance with established policies and procedures.
  • Indexing case filing in accordance with established policies and procedures. 
  • Maintaining tracking databases.
  • Providing daily metrics to management staff.
  • Scanning filing documents and correspondence into case management system and validating that documents are properly uploaded.
  • Maintaining daily control of checks, including but no limited to daily posting, preparing and making bank deposits, check identification searches, information follow-up with finance department and customer intake specialists.
  • Assisting intake specialists with creating and sending communications to customers.

 

Requirements
  • Self-motivated, flexible, ethical, customer oriented with a strong attention to detail.

  • Team player willing to assist others to get the job done.

  • Prior work experience with Excel, Access and Word is required.

  • Experience handling checks and confidential information is preferred.

  • College degree preferred but not required.
