 Description JOB SUMMARY The Operations Assistant provides administrative support to program staff and clients, performs clerical duties, and data entry functions necessary to maintain the day-to-day efficiency of the program and provides reception coverage.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provides referral coordination, communication, and dissemination within required timeframes.  

Establishes, updates, and maintains accurate client files and data systems including data input, report generation, quality assurance, and data analysis within required timeframes.  

Conducts, documents, and follows up with staff on file reviews and audits within required timeframes.   Responsible for daily management of JAMS client reporting program, including client phone calls, drafting/sending letters, and reporting results to referral source.  

Completes front desk duties including but not limited to greeting clients, answering the phone, and collecting fees.   Orders and maintains program supplies and maintains waiting area.  

Utilizes motivational interviewing techniques to engage clients and their families in AIC programming.   Coordinates client intakes, including completion of intakes when available.  

Coordinates clients referred for the basic needs program, which may include client care, documentation, and reporting.  

Identifies and suggests areas for improvement in internal processes along with possible solutions.  

Demonstrates competence in and acknowledges client cultural traditions, values, and beliefs.  

Operates as part of a team by providing program coverage for client services (including urinalysis) outside of normal work schedule, typical job function or primary work site, as requested (e.g., additional evening or Saturday shifts may be required to ensure operational coverage).

 RequirementsREQUIREMENTS
High School Diploma or GED plus 2 years experience directly related to the duties described is required. Ability to work independently, perform in a fast paced environment, fluent in MS office, and strong multi-tasking abilities. Education may be substituted with experience on a year for year basis. Displays excellent work habits (attendance, promptness, timeliness, professionalism), is open to feedback, and makes good use of time. Proven ability to work on a team to ensure program goals are met, communicates effectively verbally and in writing, and is committed to personal and program growth.

SCHEDULE
12-8pm on Monday and Wednesday, 9-5pm Tuesday, Thursday, Friday
